How signing works

Every FleetLoop rental needs a signed agreement before — or shortly after — the customer drives off. There are three ways to get that signature: text them a link, email them a link, or hand a device to them so they sign right there at your counter. All three lead to the same simple signing screen. This guide explains how each method works and what the customer experiences. For the exact clicks to send a contract for a specific rental, see Send the rental contract and Get the signature.

  • You’ve already created a contract link for the rental — see Send the rental contract.
  • Decide which method fits the moment: remote signing works when the customer isn’t at your shop yet; in person works when they’re standing at the counter.
  1. Text a link. FleetLoop sends the signing link as a text message to the phone number on the customer’s record. Best when you want them to sign before they arrive to pick up the vehicle.
  2. Email a link. Same idea, sent to their email address instead. Use this when you don’t have a mobile number on file, or the customer prefers email.
  3. Hand a device to sign in person. You open the signing link yourself — on a shop tablet, phone, or laptop — and hand the device to the customer so they can sign right there at the counter.

  1. Whichever way the link reaches them, the customer sees the same signing page: the full agreement text to read, a field for their full legal name, and a signature box they sign with a finger or mouse.

  1. After they type their name, draw their signature, check the box agreeing to the terms, and click Sign and submit, they see a thank-you confirmation page — your cue that it’s safe to take the device back if you handed one over.

  1. A signed copy is saved the moment they submit — there’s nothing else for you to do. The rental’s Contract tab immediately shows “Signed,” with a date, time, and a link to download the signed copy.

No phone or email on file for the customer. The text and email options stay off and can’t be turned on — add a phone number or email to the customer’s record, or just copy the link and hand a device to them in person instead.

The customer already has a link but you need a new one. Contract links expire after a while and can only be used once. Send the contract again from the rental to get a fresh link — see Send the rental contract.
