Scan a vehicle's registration

Instead of typing in a vehicle’s registration state, plate number, and expiration date by hand, you can take a photo of the registration card and FleetLoop reads the details for you. This works on any vehicle already in your fleet, from its Registration tab.

Before you start

  • The vehicle must already be added to your fleet (see Add a vehicle).
  • Have a clear photo or scan of the registration card ready, in JPEG, PNG, HEIC, or WebP, up to 10 MB.
  • Good lighting helps. FleetLoop reads a sharp, well-lit photo more reliably than a blurry one.

Steps

  1. Go to Fleet, click the vehicle, then click the Registration tab.

  2. Click Scan card.

  3. Choose the photo of the registration card from your device.

  4. FleetLoop reads the card and shows what it found (state, plate number, expiration date, VIN (the vehicle’s 17-character ID number), and owner name) along with how confident it is in each one. Fields it’s confident about are filled in for you automatically and glow gold briefly so you can see what changed.

  5. Review the filled-in fields, and fill in anything left blank yourself. The VIN it read is shown for you to compare against the vehicle’s saved VIN, but it’s never filled in automatically; you decide whether to update it.

  6. Click Save.

Troubleshooting

“Scan must be a JPEG, PNG, HEIC, or WebP image.” The file type isn’t supported. Retake or re-export the photo in one of those formats.

“Scan exceeds the 10 MB limit.” The photo file is too large. Retake it at a lower resolution, or compress it, then try again.

A field doesn’t match what you expect, or you see a VIN mismatch note. FleetLoop flags anything it wasn’t confident reading, and never overwrites a saved VIN automatically if the scanned one differs. Type the correct value yourself before saving.
