The pickup walkaround
What this is
Section titled “What this is”This is how you hand the vehicle over to the customer and record its condition before it leaves. FleetLoop walks you through recording the mileage and fuel level, then reminds you to take walkaround photos. How many steps you see depends on your shop’s pickup settings — some shops skip the walkaround photos or the readings entirely for quick handoffs.
Before you start
Section titled “Before you start”- The rental must be in Reserved status — pickup isn’t available until then.
- Look at the vehicle’s dashboard for the current mileage and fuel level before you start.
- Walkaround photos are captured in the FleetLoop iOS app, not on the web — have a phone or iPad with the app ready if your shop’s policy requires them.
- Open the rental, click Actions, then click Pickup.

- Type the Mileage shown on the dashboard, then tap the fuel gauge to set the Fuel level. If the vehicle has vehicle tracking connected, FleetLoop may already have a recent reading filled in for you — look for the “Refresh from vehicle” option to pull a fresh one.

- If your shop requires walkaround photos, FleetLoop shows a reminder that the photos are taken in the iOS app after this dialog closes. Click Next.

- Click Record pickup to finish.

- If photos are required, open the FleetLoop iOS app, find this rental, and take the pickup walkaround photos from each angle it asks for.
How to know it worked
Section titled “How to know it worked”FleetLoop shows a “Pickup recorded” message and the rental’s status changes to Active. If you go to the rental’s Walkaround tab, the photos you took on the iOS app appear there once uploaded — each one labeled by the angle it was taken from.
If something goes wrong
Section titled “If something goes wrong”“Mileage must be a non-negative integer” or “Select a fuel level on the gauge.” Both readings are required before you can continue — fill in a whole-number mileage and tap a spot on the fuel gauge.
“Pickup is only available for reserved rentals.” The rental has already been picked up, or hasn’t reached Reserved status yet — check its status on the Rentals list.
No Walkaround tab appears on the rental. Your shop’s pickup settings skip the walkaround for this rental’s profile (for example, a quick body-shop loaner handoff) — this is expected and not an error.
