6. Add your Privacy Policy and Terms URLs

What this is

When a customer signs their rental agreement, FleetLoop shows them links to your shop’s Privacy Policy and Terms & Conditions right next to the checkbox they tick to agree. This page is where you tell FleetLoop where those two pages live on the web. If you don’t have pages like this yet, most shops start from a template their state bar association or a lawyer provides, then fill in their own numbers (late fees, deposit, insurance requirements, and so on).

Before you start

You’ll need:

  • A web page describing how your shop handles customer data (name, phone, email, license, and payment information) — a Privacy Policy
  • A web page covering your rental terms (late fees, damage liability, insurance requirements, cancellation policy) — Terms & Conditions
  • Both pages must already be live on the internet, reachable at a real https:// web address that isn’t behind a sign-in

Steps

Section titled “Steps”
  1. Go to Settings → Business details.
  2. Scroll to the Privacy & terms URLs card.

  1. Paste your Privacy Policy’s web address into Privacy Policy URL.
  2. Paste your Terms & Conditions page’s web address into Terms & Conditions URL.
  3. Click Save URLs.

How to know it worked

You see a confirmation that the URLs were saved. The next time a customer signs a rental agreement, both links appear next to the consent checkbox and point to your pages.

If something goes wrong

“Must be a full https:// URL.” Both fields need a complete web address starting with https:// — not http://, and not a bare domain name like example.com.

I don’t have a Privacy Policy or Terms & Conditions page yet. A generic rental terms template from your state bar association is a reasonable starting point — swap in your shop’s actual numbers (late fees, deposit amount, insurance requirements) before publishing it. For a Privacy Policy, plainly describe what customer information you collect, how you use it, and how someone can ask you to correct or delete it.

I updated the pages later — do I need to resave here? Only if the web address itself changed. If you’re editing the same page at the same URL, FleetLoop always links to the live page, so there’s nothing else to do.
