Get the signature

Once you’ve sent the rental contract, there are three ways to actually get it signed: text the link to the customer’s phone, email it to them, or hand a device to them in person so they can sign right there at the counter. This guide covers all three and what the customer sees on the signing page.

  • You need a contract link — create one from the rental’s Actions → Send contract for signature menu first.
  • Know which method fits the moment: texting or emailing works when the customer is remote or you want them to sign before they arrive; in person works when they’re standing right there.
  1. Choose how to send the link:
    • Text a link — turn on Send via SMS in the Send contract dialog before clicking Send. It arrives as a text message on the customer’s phone.
    • Email a link — turn on Send via email instead. It arrives in their inbox.
    • In person, on a device — leave both toggles off, copy the link FleetLoop shows, and open it yourself in a browser on a shop tablet, phone, or laptop. Hand the device to the customer to sign right there.

  1. When the customer opens the link — by tapping the text, opening the email, or on the device you handed them — they see the rental agreement text, a field for their full legal name, and a signature box.

  1. Have the customer type their full legal name, sign in the box with a finger or mouse, check “I have read and agree to the terms above,” and click Sign and submit.
  2. Once they submit, FleetLoop shows them a thank-you confirmation — that’s your cue the signature went through, and it’s safe to take the device back if you handed one over.

Back on the rental’s Contract tab, the page now shows “Signed” along with the date and time it was signed, and a Download signed contract link. The unsigned message (“No signed contract on file”) is gone.

“Link expired or already used.” Signing links expire after a while and can only be used once — go back to Actions → Send contract for signature and send a fresh one.

The signature box won’t submit — “Please draw your signature.” The customer needs to actually draw in the box (not just type their name) before Sign and submit will work.

“This link isn’t for signing.” The wrong kind of link was opened — double check you’re using the link from Send contract for signature, not a link meant for something else like an invoice or estimate.
