Log maintenance

What this is

This is where you keep a vehicle’s service history and set up reminders for its next oil change, tire rotation, or other recurring service. FleetLoop tracks two separate things on the same tab: a Schedule (how often a type of service is due) and a Log (each time that service was actually completed).

Before you start

• The vehicle must already be added to your fleet — see Add a vehicle.
• Know the type of service (oil change, tire rotation, and so on), and either how often it repeats — in miles, in days, or both — or the details of a service you just completed.

Steps

1. Go to Fleet, click the vehicle, then click the Maintenance tab.

2. To set up a reminder, click Add schedule under Schedule, choose the kind of service, and enter how often it’s due — in miles, in days, or both.

3. Click Save.
4. To record a service that’s already been done, click Add log entry under Log, choose the kind of service and the date it was completed, and fill in mileage, who performed it, the vendor, and the cost if you have them.

5. Click Save.

How to know it worked

The Schedule table shows the service kind and how often it repeats, with the next due date or mileage. The Log table shows every completed service in order, with its date, mileage, vendor, and cost. If a service was overdue, logging it clears the red “Maintenance overdue” banner at the top of the tab.

If something goes wrong

“Enter an interval in miles or days.” A schedule needs at least one of the two — fill in either field (or both) before saving.

A “Maintenance overdue” banner appears at the top of the tab. This means the vehicle has crossed its next-service mileage, or it’s been more than 90 days since its last logged service. Log the completed service to clear it.

You logged the wrong entry by mistake. Click Edit or Delete next to that row in the Log or Schedule table to fix it — deleting a schedule doesn’t remove past log entries.
